Overview

New York Medical College (NYMC) located in Valhalla, NY is seeking a detail-oriented communications professional to join the public relations team to serve as the office administrator. The ideal candidate will have exceptional organization and communication skills as well the ability to multitask and adhere to tight deadlines. The individual in this position will play an integral role on the communications team and will assist with all communications initiatives and office management.

Responsibilities

  • Serve as the administrator for the Office of Public Relations including maintaining the vice president of communications and strategic initiative’s calendar, scheduling meetings, organizing office events, ordering office supplies, managing mailings, providing phone coverage, maintain departmental email inbox, proofreading publications, update email lists monthly, loaning out campus banner, distribute print publications campus-wide, providing logos and images upon request, prepare calendar of events for weekly InTouch newsletter, compile marketing materials for yearly highlights.
  • Make updates to the NYMC website utilizing our content management system, Terminal Four. Provide training and support to website contributors.
  • Oversee the NYMC online calendar and ensure NYMC events are properly added to the calendar. Provide training and support to calendar administrators.
  • Coordinate with vendors to obtain proposals and quotes related to communications projects.   
  • Process purchase orders and payments for the department.
  • Compile daily press clips to distribute to senior leadership and prepare monthly highlights on media coverage.
  • Work with all schools to obtain current statistics and annually update NYMC Overviews and At A Glance publications.
  • Ensure the NYMC Style Guidelines, Event’s Guide, Crisis Communications Plan, on-hold message, yearly public relations calendar, departmental accomplishments list, and departmental highlights publication are updated.
  • Maintain reports and keep a log of 1) all alumni magazine articles, 2) all press clips, 3) media coverage report, 4) web contributors list.
  • Manage and update NYMC’s news and events page and archive digital newsletters once they are distributed.
  • Maintain departmental records, rotate supply of publications, and archive printed publications.
  • Compile all printed marketing materials across campus to include in the annual PR frame.
  • Manage electronic image library of photography that is representative of the College's campus, students, faculty, alumni and events. Provide photos for printed and digital publications upon request.
  • Serve as the point person for facilities and information technology departmental requests.
  • Assist in coordinating photoshoots. Deduping and uploading photos to the image library.
  • Oversee NYMC’s Flicker site uploading photos from all events and editing photos as necessary.
  • Provide campus tours for location scouts.
  • Always serve as a champion and advocate of NYMC through excellent communications.
  • Perform other related duties as assigned.

Qualifications

(A) Education requirement:  B.A. or B.S. with minimum 5 years’ experience working in an administrative or communications role.

 

(B) Licenses or certifications:  N/A

 

(C) Technical/computer skills:  Microsoft Office, Photoshop preferred and content management systems preferred.

 

(D) Prior experience: 

  • Strong organizational, managerial and problem-solving skills. 
  • Must be diplomatic, exercise sound judgment and maintain confidentiality. 
  • Must be detail oriented with the ability to work independently.
  • Position requires superior grammar and proofreading skills; ability to multi-task as well adhere to tight deadlines.
  • Must be comfortable working with budgets to manage the finances of the office.

Minimum Salary

USD $58,500.00/Yr.

Maximum Salary

USD $60,000.00/Yr.
