Overview

The Phase Two/Three Curriculum Administrator is responsible for the overall management and coordination of tasks associated with the high functioning of the medical education program related to phases two and three of the MD Program.  The administrator will work collaboratively with other members of the UME Office, Education Technology, Office of Data Analytics, as well as course and clerkship directors, program administrators, and students.  This role requires that the incumbent understand school of medicine policies related to student clinical programs and the curricular goals, and standards of the student clinical programs.

Responsibilities

  1. Provide direct administrative support for the Asst. Dean for Clinical Sciences and the Phase Two and Three Directors, including:
    1. Management of SOM Three and Four pages in the SOM Learning Management System;
    2. Oversee grade submission for M3 and M4 courses to ensure compliant with LCME accreditation guidelines
    3. Upload M3 NBME Strength and Opportunity Reports to student portfolio
    4. Manage annual confirmation and updating of M3 and M4 clerkship and track requirements;
    5. Manage annual confirmation and updating of M3 and M4 elective catalogs;
    6. Manage contact listing for M3 and M4 clinical programs and ensure information is accurate and up to date.
  2. Support Chairs of curriculum subcommittees in scheduling and distribution of agendas of monthly meetings
  3. Support student onboarding process to clinical sites
  4. Provide administrative support for elective programs sponsored by the Office of UME (e.g., Medical Spanish, Patient Safety, Medical Leadership) and for the Clinical Transition Courses: Transition to Clerkships, Transition to Advanced Practice, and Transition to Residency courses.
    1. Assist course directors and teaching faculty with the development and preparation of course and teaching materials including student rosters, syllabus, schedules, exams, outlines, slides, and handouts;
    2. Ensure all materials are uploaded into the learning management software;
    3. Assist with preparation of curriculum mapping materials for relevant courses;
    4. Assist with room scheduling;
  5. Provide overall administrative support for UME Office functions:
    1. Calendar management
    2. Scheduling group meetings as requested by supervisors;
    3. Preparing correspondences to stakeholders;
    4. Processing reimbursements;
    5. Answering phones and manage requests from students, faculty and staff;
    6. Welcoming visitors to the office of UME;
    7. Assist with room reservations for educational sessions
  6. Service as a dedicated proctor for computer-based examinations Provide central monitoring and regular reporting of grade submission for clerkships to comply with LCME accreditation standards.
  7. Additional administrative tasks of the UME office as needed

Qualifications

(A) Education requirement:

  • Bachelor's Degree

(B) Licenses or certifications: N/A

 

(C) Technical/computer skills:

  • Strong Microsoft Office Suite Skills
  • Agility in learning new computer applications 

 (D) Prior experience:

  • Experience working in a medical school preferred
