Overview

Reporting to Phase I Patient Care Directors and Administrator, the Coordinator plays a significant role in the daily organization in a successful medical student education program. The Patient Care Curriculum Coordinator will provide comprehensive administrative support to the department and assist with the overall management and coordination of the Foundations of Clinical Medicine Legacy Course and Phase I Patient Care Thread.

Responsibilities

Overall FCM2 Legacy/Phase I Patient Care administration, which includes:

  1. Prepare curricular material and supplies
  2. Assist department with overall organization and coordination of all teaching sessions
  3. Monitor and assist with on site for teaching sessions and assist department and faculty as needed
  4. Set up for teaching sessions and transport all curricular material/supplies
  5. Assist with scheduling space reservations for educational sessions in campus resource scheduler
  6. Communicate with the A/V department for assistance in setting up educational sessions
  7. Respond to unit email accounts daily and triage accordingly
  8. Maintain and upload files to the shared workspace
  9. Set up Zoom meetings as needed and manage department calendars
  10. Assist with creating student schedules for uploading on LEO
  11. Cross check student schedules for accuracy with Clinical Skills and Simulation Center (CSSC)and Education Technology for posting in LEO

 

Overall Administrative support for unit under Administrators directive, which includes:

  1. Function as first point of contact for students, faculty, visitors, etc. to direct questions and concerns to appropriate person
  2. Overall office support with updating and maintaining various reports, spreadsheets, documents, mail merges accurately and consistently
  3. Respond to emails and calls, directing appropriately
  4. Maintain student assignments/attendance tracking for courses/thread checking for accuracy and completeness
  5. Email and copy materials for faculty
  6. Place and manage catering orders as needed
  7. Assist Administrator with recruitment of preceptors and teaching faculty
  8. Assist Administrator with special projects and events
  9. Facilitate work orders
  10. Assist department staff as needed
  11. Proctor course exams as directed

 

Streamline communication and reporting among:

  1. Office of Undergraduate Medical Education (UME)
  2. Course Directors, teaching facilitators and students
  3. Clinical Skills and Simulation Center
  4. Office of Student Affairs Office of the Registrar
  5. Security, facilities, housekeeping, audiovisual for teaching sessions and as needed

 

Any additional tasks pertaining to course administration by Directors and Administrator as needed.

Qualifications

(A) Education requirement:

  • Bachelor’s Degree preferred; Associates Degree required with relevant experience

(B) Licenses or certifications: N/A

 

(C) Technical/computer skills:

  • Proficiency in Microsoft Office Suite, Outlook, Word, Excel and PowerPoint
  • Experience with online learning management systems a plus

(D) Prior experience:

  • 3-5 Years in higher education administration
